Overview: Court Reporters

The deposition is on the calendar and somebody has to make the record. That is this trade. A court reporter takes down every word spoken at a deposition, hearing, arbitration or examination under oath, and produces the transcript that everyone afterwards treats as what was said. Most agencies also mark and circulate exhibits, arrange legal videography, and stream a realtime feed to counsel while the questioning is still running. These are reporting agencies, not law firms, and nobody in that room is advising you on your case.

The differences between agencies show up under pressure. Whether the record is taken by a stenographer or captured digitally and transcribed later. Whether a certified reporter is assigned and stays assigned, or subcontracted the night before. How rough drafts and certified transcripts reach you, how exhibits are handled, and what the platform does when a remote witness drops off. Certification and state requirements vary, so ask what the reporter holds where the proceeding will actually take place.

Before booking, have the case name, the venue or platform, the expected length, the witnesses, any interpreter need, and the list of people receiving copies.

Listings show what each agency states on its own website about reporter certification, realtime work and videography. The state and city lists open on reporting agencies in your area, and each city page flags the local ones.

What does deposition reporting cost?

Private deposition bills combine reporter attendance, transcript pages and delivery charges. The example below totals those components for a defined booking; the following rows explain individual charges. Do not add the example to those charges again.

Frequently asked questions

What does a court reporter actually produce?

A verbatim record of what was said, certified by the reporter who took it. In practice that arrives as a rough draft first and a certified transcript afterwards, with exhibits marked and attached. Many agencies add synchronized video, an index, and a realtime feed that lets counsel search the testimony while the witness is still answering.

Does stenography or digital recording make a difference?

It changes who is accountable and when. A stenographer builds the record live, interrupts when two people talk over each other, and can read back on request. Digital capture depends on good audio and a transcriber afterwards, which is fine for a clean hearing and awkward for a heated one. Ask which method an agency uses before a difficult deposition.

What separates a rough draft from a certified transcript?

The rough is unedited and uncertified, useful for preparing the next day and never citable. The certified transcript has been proofread, formatted to the local requirements, indexed, and signed by the reporter, which is what makes it the official record. Ask which one is included in the quoted arrangement and which one costs more.

How do court reporting agencies structure their charges?

Typically an appearance charge for the reporter's time plus a separate rate for the transcript, with expedited delivery, realtime feeds, video and copy orders priced on their own lines. Cancellations close to the date often carry a charge. Ask for the whole structure in writing, including what a party ordering copies later would pay.

Can these agencies handle remote witnesses and exhibits?

Most can, and it is now routine. The agency hosts the platform, swears the witness remotely where the state permits it, shares exhibits on screen, and keeps a clean audio channel for the record. Ask who manages exhibits, how they are marked and circulated, and what the plan is when somebody's connection fails mid answer.

Do court reporting agencies handle anything beyond the record?

No, and that boundary is worth knowing. Making and certifying the record is the entire trade, along with video, exhibits and interpreters booked around it. Delivering court documents and swearing to that delivery is a separate business with its own rules. Gathering evidence about a person belongs to licensed investigators, who are a different trade again.
